How to allocate transactions to
your budgets online

  1. Log on—https://informationmanagement.visa.com.
  2. You will be instructed to change password (initial log-on only).
  3. Read Terms & Conditions, then click I Agree (initial log-on only).
  4. You will be asked for more password-related info (initial log-on only).
  5. Choose Visa Information Source.
  6. Choose Cost Allocation.
  7. Choose Allocate Transactions.
  8. If you are not responsible for reconciling more than one card, skip to step 10. If you are, you must select the card you want to work with: hit blue question mark to the right of the Card Account* box.
  9. From the drop-down box, click on the card you want to work with.
  10. Select Start and End periods.
  11. Choose Selected Segments.
  12. Choose GL Sub Account Code.
  13. Hit Next.
  14. Click on the box to the left of the first transaction (left of the screen).
  15. Click on the blue question mark at the right of the screen. A box will appear with all your GL codes.
  16. Click on the desired code.
  17. Repeat steps 14–16 for each transaction. You will have multiple pages of transactions if you used the card heavily.
  18. When you are done allocating all transactions, select Action.
  19. Select Submit.
  20. Hit Go.
  21. At the bottom of the screen, select printer friendly. Along with your receipts, this print-out must also be attached to the documentation you will provide to your Authorizing Supervisor for signature.

User tips:

  • You have 15 minutes to reconcile one page, 20 items. If you go past that, you lose what you’ve done. You have 15 min for each page.
  • Do not use your browser’s Back button. It will kick you out.
